Vendor Management Methodology
Analysis. We carry out a detailed analysis of your
operations with regard to recruitment requirements, practices,
preferences and volumes. Our goal is to understand how you
conduct business, why you recruit the way you do, the processes
you follow, what skills you require and when, personnel and
procedures involved, documentation, your organization's culture
and what issues you face in meeting your goals. We carefully
examine your vendors (including subcontractors) to understand
their strengths and specialties, and your procedures for working
with them.
Project Plan. Based on our analysis, we jointly develop
a plan to meet your recruitment and management goals, to transition
your staff, consultants and vendors to the new program, and
communicate the plan to your hiring managers, key management
staff and vendors.
Team Creation. We select a dedicated team to implement
and manage the program. Based on the personnel volumes involved,
the size and offsite/onsite composition of the team is determined.
An overall Vendor Manager is assigned. We categorize your
existing vendors, add our own subcontractors where required
and ensure that the vendor pool is configured to meet your
projected requirements.
Implementation. The MatchBoard® software can be installed
at your site, where you can have it on your own LAN for fast
access and high security, or you can use it as an ASP service
from our site. If the system is to be installed on your servers,
our technical staff will work with you to install and commission
the software. Vendor versions of the software easily self
install on their servers, or vendors can directly access your
system over the web.
Software Configuration. The MatchBoard Vendor Management
software can be configured to fit closely into your normal
business practices. We work closely with your procurement
staff, hiring managers, HR personnel, accounting department
and management to configure the system to your environment
- for example assigning user privileges, creating departments
and reporting hierarchies, assigning your business terminology
to system events and items, creating lookup lists, etc.
Vendor Liaison. We meet with your vendors to explain
the system and new procedures to them, including positions,
resume handling, timesheets, invoices, etc. We ensure that
vendors understand their responsibilities and goals, and how
they will be evaluated to meet overall program metrics. We
listen to their own issues and jointly establish how they
can work efficiently within the system. Vendors are issued
free copies of the MatchBoard software to enable them to automate
their internal processes and interact seamlessly with your
system. Vendors are also provided with written agreements
and the transition process is explained to them.
Training. Although the MatchBoard system is intuitive
and very easy to use, we conduct training for your users to
enable them to more efficiently use the system. Separate training
is also conducted for your MatchBoard Administrators and for
your vendors.
Quality. We jointly develop quality standards that
the program is expected to meet. We regularly report to you
on these parameters to ensure that the program is on track
to achieve overall business goals, and to make course corrections
and modifications as may be required as business needs evolve.
Reporting. MatchBoard provides extensive reporting
on vendor performance, analytics and statistical reports,
without requiring post facto entering of large amounts of
data. You will be able to monitor the performance of the program
and of your Recruitment and Management activities in real
time.
Operations. We work with you to monitor performance
of the program, adapt it to anticipated needs, improve processes,
obtain feedback and report to you on a regular basis.
Customer Care. One of the key goals of the program
team is to provide a high degree of customer care in meeting
your ultimate goals for recruitment and management. The team
will be ready to provide human intervention where required
and to enhance the effectiveness of the system through human
interaction. We also support your vendors' use of the system.
